Clinic Policies
​Appointments

Many appointments can and should be self-booked online. If you have trouble with the online booking platform, please contact us by e-mail, WhatsApp, or telephone.

Same-day appointment cancellations (including no-shows) or reschedulings may be subject to a fee of up to $100, restrictions to the use of our online booking system, and/or removal of the privilege of telehealth appointments.

Please arrive on time, as late arrivals may be rescheduled and are subject to a fee.

Contact Information
It is critical that we have up-to-date contact information for your child. Outdated information may lead to delays in delivery of test results and cancellation of specialist referrals. Please e-mail us promptly with updates to your contact information.

Services and Availability

Dr. Posen and his medical staff are available by appointment only. We are not able to accommodate walk-ins.

We do our best to be available to our patients in a timely manner, especially for sick visits. However, it is not always possible for us to accommodate appointment requests, especially with limited advance notice. If your child is sick and you would like them to be evaluated at a time when Dr. Posen is not available, please consider one of the following alternate options:

We do not provide emergency medical services. If you believe your child is ​having an emergency, please call 911 or visit your closest emergency room.

Conduct

Dr. Posen and his staff have a zero-tolerance policy regarding abusive behaviour. Abusive behaviour includes acts or threats of physical violence, use of insulting or derogatory language, yelling or shouting, and other forms of mistreatment, including by e-mail. Abusive behaviour will be taken seriously and may result in termination from Dr. Posen's medical practice.

We will only provide services we believe to be medically necessary and in your child's best interest. We share your goal of optimizing your child's health, but please understand that requests for specific referrals, tests, or prescriptions may not be accommodated. We will always explain the treatment plan we suggest, or the reason for not following a different plan, and we ask for your active participation in these conversations. However, demands of us are not conducive to a healthy patient-doctor relationship. We appreciate your understanding.

Insured services

Bring your OHIP Card, or a copy/photo of your Refugee Claimant Document (IFH coverage), to each appointment. If the Card or Document is invalid, you will be billed directly for the visit.

If your child does not have OHIP or IFH coverage, we will bill you for the services and provide you with an official receipt. You may use this receipt to claim reimbursement if you have a third-party insurer (including UHIP).

The OHIP number given to a newborn in the hospital is temporary. You must register with OHIP as soon as possible to obtain an OHIP card with longer-term validity.

Uninsured services

OHIP (or IFH) does not pay for all services that may be provided to you by your Physician.

Examples of uninsured services include, but are not limited to, completion of government forms, completion of third-party or insurance forms, prescription refills without an appointment, medical records copies or transfers, and pre-travel medicine services.

It is the patient/parent's responsibility to pay for uninsured services when rendered.

If you have private insurance that covers these services, we will bill you for the service and provide an official receipt, which you can use to claim reimbursement.

Privacy and Confidentiality

Dr. Posen's office is fully compliant with PIPEDA and PHIPA.

Dr. Posen (or his staff) collects personal health information about you and your child(ren). The information collected may include your name, date of birth, address, personal and family health information. This information may be used by regulated and allied health care professionals to deliver patient care, administrative health care services and other services permitted by the law. Your personal health information will only be shared with other physicians, specialists and healthcare professionals outside of the clinic, who are directly involved in your circle care.

Dr. Posen and his staff follow standard and reasonable safeguards to protect your personal information from unauthorized access, collection or disclosure.

Dr. Posen is bound by the privacy rules and guidelines of the College of Physicians and Surgeons of Ontario.

Dr. Posen's staff are bound by confidentiality agreements, signed at the beginning of their employment.

Unless required by law, we will not release any details regarding patients’ health without prior consent from the parent/guardian.

Office staff will not disclose medical information, including test results, over the phone or by e-mail unless instructed to do so by Dr. Posen.

In the event that your personal information has been unlawfully accessed by unauthorized persons, we will notify you at our earliest opportunity.

Medical Records

Medical records are handled in compliance with PHIPA regulations.

Patients are entitled to access the information contained in their medical records upon request, unless a legal or regulatory exception applies.

Copying or transferring medical records are not OHIP-insured services, and thus are subject to a fee. We will provide a fee estimate, based on the updated Ontario Medical Association guidelines, within 30 days of a written request for copying or transferring medical records.
